Who we are

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Our “Now Spinning” feature embeds YouTube videos. Even if you do not press play, YouTube (operated by Google) may set cookies and collect data about your visit, as described in the Google Privacy Policy.

If you sign up for the RolnRock newsletter, we collect the email address (and, if you provide one, name) you enter into the sign-up form. We use MailPoet, a WordPress plugin, to manage our subscriber list and send newsletter emails.

We use double opt-in: after you sign up, you’ll get a confirmation email, and you won’t receive any newsletters until you click the confirmation link.
Newsletter emails are delivered through the MailPoet Sending Service, a third-party service MailPoet operates to deliver the email on our behalf. Your email address is shared with MailPoet for this purpose.
We keep your subscriber information for as long as you stay subscribed. If you never confirm your subscription, we keep that unconfirmed entry unless you ask us to remove it.
Every newsletter includes an unsubscribe link. You can also ask us to remove you at webmaster@rolnrock.com.

Store purchases

Our Store is run through Ecwid, a third-party e-commerce platform embedded on this site. When you make a purchase, Ecwid processes the order on our behalf.

Checkout and payment details (such as your card number and billing address) are entered directly into Ecwid’s checkout and are not stored on our servers.
We receive the order information from Ecwid needed to fulfill your purchase, such as your name, shipping address, email, and what you ordered.
Ecwid may use its own payment processors and shipping partners to complete your order. Those providers handle your payment and shipping data under their own privacy policies.
We keep order records for as long as needed for accounting, tax, and customer service purposes.

Forum accounts

RolnRock’s Community forum runs on bbPress and uses the same account system as the rest of the site (the same account you create via Join / Sign In).

Your username, email address, and password (stored securely, hashed) are part of your account.
Forum posts, your profile information, and your activity feed are visible to other visitors and are retained indefinitely, the same as comments, so discussions stay intact for other members.
You can update your account details, including your password, from your account page at any time.

Analytics

We use Google Analytics (via Google’s Site Kit plugin) to understand how visitors use RolnRock — for example, which pages are popular and how people find the site. Google Analytics uses cookies and collects information such as your IP address, browser and device type, and the pages you visit. Google processes this data under the Google Privacy Policy.

We also use Google Search Console (to monitor search performance) and PageSpeed Insights (to test site speed). Neither of these collects data about individual visitors.

Who we share your data with

If you request a password reset, your IP address will be included in the reset email.

Beyond that, we share data with the third-party services described elsewhere on this page: Google (Analytics, Search Console), Automattic (Gravatar and Akismet), MailPoet, and Ecwid — each only to the extent needed for that specific feature to work.

Account security

To help protect accounts from unauthorized access, we use a login-protection plugin that temporarily blocks an IP address after repeated failed login attempts. The IP addresses of failed login attempts are logged and kept for a limited time for this security purpose only, and are not used for anything else.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website — including Community (forum) accounts — we store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information. As noted above, forum posts and activity are retained indefinitely, the same as comments.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Children’s privacy

RolnRock is not directed at children, and we do not knowingly collect personal information from anyone under the age of 13. If you believe a child has provided us with personal information, please contact us at webmaster@rolnrock.com so we can remove it.

Where your data is sent

Visitor comments are checked through Akismet, an automated spam-detection service operated by Automattic (the same company behind Gravatar). Akismet’s privacy policy is available here: https://automattic.com/privacy/. Some visitor data is also sent to Google as part of Google Analytics and Google Search Console (see Analytics, above).

Changes to this policy

We may update this Privacy Policy from time to time to reflect changes to the site or the services we use. The “Last updated” date at the top of this page reflects the most recent revision.
